Meaning and Definition
Office is the place or organizations where activities of high level, mid level and low level like: planning, policy making, communicating, controlling, directing and recording are performed. In board sense, office refers carried out by a person or group of persons rather than place. It is the focal point from where all organizational activities are controlled and carried for acheving its objectives.
According to George R. Terry, " An office is the place where the control mechanism for an enteprose are located, where records are initiated for communication, control and efficient operation of the enterprises".
Types of Office
1. Government Office
The office which is established by the government of any country for providing utility services to the public, maintaing rules and regulations, peace and security as well as creating a sound defense system in the country is called government office. Departments, Municiplaities, Ministries, Court, districts level office, province level office are the some example of government office.
The duties and responsibilities of government office are:
- To maintain rules and regulations in th country.
- To protect the counry from violence.
- To develop the economically, politically and socially for the coutry.
- To maintain peace and security.
- To provide education to the public and eradicate illiteracy and also provied health facitilites
- To collect the Tax.
- To give employment opportunities and eliminate the uneployment rate.
2. Business Office
The office which is established on the purpose of providing goods and services to the public inorder to earn profit and revenue is called Business Office. It is established on the investment both government and Private sector. Insurance, consultancy, Nepal Telecome, Internet Service Provider are the example of business office. On the basis of investment and ownership the business office is divided into
- Government Business office
- Private Business Office
3. Service Motive Office
Those office which is established to render varieties of service to the society irrespective of earning revenue and profit are called service motive office. These types of office are handled by an executive comittee formed among their members. Nepal Scout, Nepal Children Care organization, Save Our Soul (SOS), Trusts. Nepal Red Cross Society are the examples of service motive office.
Features of Service Motive Organizations are:
- Indeependent managment.
- Manage and control by excutive comittee formed among their members.
- Try to relieve them for their trouble and diffficulties specilly at the time of natural disasters: earthquake, landslide, and flood.
Importance of Office

Record keeping centre:
Office collect the information and data from different personnel and departments of the organizations internally and externally and preserved systematically. -
Controlling centre :
The office is the control center of the organization. Monitoring and evaluating the performance of employees and different departments. Compares actual performance of employees and different departments to standard performance and takes corrective action to reduce disputes in the future. -
Service centre:
The office is an important part of the organization. Provides various information and services to its various departments, departments and branches to enable them to work smoothly, here the office is important as it provides services such as printing, packaging, copying, mail, catering, stationery and more. -
Communication centre:
Office takes responsibility for handling the information and communiction traffics. It supplies the information to different departments , staffs inside office as well as outside office with the help of mail, letter, notice, phone calls etc. -
Implementing plans and policies centre:
A plans and policies are formulated in the office concerned persons and authorities. Besides, such plans and policies are implemented into action through office. As a result, achieving the organizational goal is possible. -
Proof of existence:
The office stands proof of the organization. Specifies the identity of the organization whether it works or not. This shows that the organization acts in community. -
Coordination centre:
The office has links with various deparments and staffs. Its plays the role to achieve a common goals by coordinate them.
