Introduction

Every organization has certain objectives and goals. For achieving the goal, very organizations have to perform various activities.  Such types of activities are categorized as different levels. All the recruited staff of office are carried out all works, effectively and efficiently, are called office personnel.

The office required different types of resources like transportation, communication, finance, materials, machine, and human. Human resources are the most important resources which mobilize the other resources for achieving the goals of the organization.

According to the necessity and function of the office, various office personnel is recruited depending on their professional qualification and experience. Such as the Secretary of Home Ministry is established to the keeping of records of any organization and report the activities of future programs to the members, press, and public. Thus different levels of staff having technical as well as administrative skills and knowledge are required in various types of offices. Secretary, Joint Secretary, Under Secretary, Section Officer, Non-Gazetted Officer (Na. Su), Non-Gazetted Second Level (Kharidar) are some examples of office Personnel of government office.

Types of Office Personnel

Office selects staff to various levels and presents on release official activities. It is difficult to perform such activities by the staff of just one level. In this manner as per nature of work, The office names staff having various capabilities, experience and type at different levels and posts. So, Office personnel are catagorized as follows:

 A. Office Chief

The office chief is consiered as the head of the organizations who have responsible for manage resources, direct and control the whole organizational activities for heading the office towards its goal. He reserve the authority for making future plans and policies and have to play the role of co-ordicator to complete the all works effectively and efficiently in the defined time frame. He is responsible for division the works to other staffs as per their performance,skills and experience. Office Chief plays the role as Coach of the games, Principal of the school.

The  function of Office Chief

  1. To implement the plans and policies of an organizations.
  2. Set the objctives and heading towards the goal of an organizations.
  3. To direct, manage and control the activities of an organizations.
  4. Evaluate the performance of office staff and take the corrective actions.
  5. To lunch the programms like training and seminar for improving the capacity and ability of the staffs.
  6. To maitain the technical stuffs and manage the necesary materials and equipments.
  7. To divide and allocate tasks to other staffs.
  8. To maintain the discipline and working environment in the office.
  9. To assign the responsibilities to the right persons considering their qualification, experience, skills and nature. 
  10. To make positive attitude toward office and motivate the staffs by providing the bonus.

B. Section/Branch Officer

The Large scale organization is divided into different sections and branches according to their functions and duties. These sectors include manufacturing, finance, human resources, marketing, accounting and public relations departments. Each department is supervised and controlled by an mid level executive officer who is also known as a section/branch officer. He is the chief of his section or department who is appointed by the head office. He makes plans and policies and allocate the works on their department.

The function of section/branch officer

  1. To make plans and policies and mobilize the different resources on their department.
  2. To divide the works and assign responsibilities to the staff on their department.
  3. To complete the tasks assigned by office head in timely and responsible manner.
  4. To make necessary arrangment for controlling leakage and preserving deparment properties.

C. Office Assistant/Subordinate

In every office, workers are divided into different catagorize like low level, mid level and high level. Office Assistant are the workers who are appointed in low level post. Office assistants refers to the staffs who are typically work to support for their senior (office chief and section officer) by performing regular official jobs. The office assistant is responsible for performing a range of clerical and administrative tasks to support daily operations in an office setting. The work like: filling, record keeping, typing letter, receive and answer the  telephone calls, drafting which is done by office assistants.
Nayab Subba (Na.Su), Kharidhar, Mukhiya are the some example of office assistants in government offices. Similarly, Receptionist, sales assistant, Marketing assistant and Perosnal receptionist are the some examples of office assistant of private office. 

Office assistanst are discribed below:

Sectional Clerk:  The office assistant who carrries out low levels works of a particular sections is called Sectional Clerk. A large organizations organized various section and offices to do creation, production,  marketing and finance. These section are taken care of by the sectional officer or departmental boss. The sectional boss can't deal with all administrative and administrative works of his part alone. He requires a quantities of staff to take help or backing in performing and wrapping up the sectional or departmental tasks smoothly. The sectional clerk is a staff who is appointed a specific work in a specific area to help the sectional officer completing the sectional activities. He carried out works under the supervision and direction of the section officer.

Personal Assistant(P.A):  Personal assistant is also called private secretary who appoint to assist the the daily routine of works on the behlaf of office chief on his direciton and permission. In short Personal Assistant is called P.A.   Perosnal Assistant is provided to Ministers, Secretary, Directors, IGP of Police Force in government office. P.A. keeping records, handles phone, guests, and messages, drafts,  significant secret reports, schedule the meeting and courses and reminds the chief for his every day plan. The individual right hand is the private secretary who is to fill every one of the administrative roles for the Chief.

Receptionist: The Receptionist  is a subordinate who is recruited in the office to handle  the telephone calls, guests, and clients. In general, women are appointed as receptionist in the office. She should deal with visitor properly, politely and the queries of the phone calls must be given politely. For the effective dealing with visitors, the receptionist must be cheerful and polite enough.

  1. Preparation of the schedule of daily work.
  2. Handling telephone calls, mails and telegrams.
  3. Typing the letters.
  4. Filling documents and letters.
  5. Recording keeping.
  6. Receving and handling the guests and visitors.
  7. preparing report.
  8. Using machines.
  9. Reminding the chief.
